25.01.2022 #internetbankpaymentsletsgetitright!# AS a bookkeeper, we come across some thing so often, that we wonder why on earth it seems so difficult for people to get it right. Today I want to speak about the correct use of the internet bank payments including vital information on the payment. You would not believe - unless you are a bookkeeper and have come across this yourself - how often the following happens: eg the business is a cleaning company. The amounts for weekly cleaning... are pretty much the same. But over and over one receives payments with the reference :Cleaning... well yes the client knows its for cleaning as that is his business. Lets take a moment and go into your internet banking and have a look at how it is set up. Most banks have it set up that you can a) enter the name of the party who pays (That is YOU) b) enter a reference that will appear on the recepients statement (the company you are paying) THIS IS THE VITAL ONE- here you should enter the INVOICE number of the bill you are paying or reference number c) enter a reference in another separate reference field which will appear on YOUR bankstatement - the payers bank statement. So you can remember what this was for. Most people seem to copy the ref for their own bank statement line to the other reference field which is for the receiving party. Sadly it is no use what so ever for your supplier when he receives bank line after bank line stating: "cleaning" or "Printer Ink" or "Mums Funeral" or "Annual Membership" So when you do these payments, assure you put all the details- that your supplier needs to close the correct invoice of- on your internet bank payment. ahh yes, of course I hear you "BUT I am always sending a remittance advice" sadly but true: anything you send through the internet bank system will only have exactly the same details as you have been putting into the payment, so receiving the remittance stating "cleaning" and maybe if we are lucky the bank it came from, still does not help with the issue. I get that the average person is not a bookkeeper, but hey these are the little details which will make life smoother. Less hassling about invoice payments, that annoy you as you know you paid them is one of these. #internetbankpaymentsletsgetitright!# Feel free to share it plenty so we can get the message out and might change the world



23.01.2022 Now after all the excitement and March BAS over, I do want to put my bit in regarding these "exciting" budget news of $20,000 for small businesses to spent. OK, I am NOT a financial adviser nor your tax accountant. This is out of a bookkeepers view. We bookkeeper go in and do your books. We see regularly where your business is at and how your cashflow is. When these exciting news for small businesses were announced in the budget I had calls from my clients or heard from them ...during my visit dreamily stating: These $20,000 come in so handy, I am going to buy this new truck, I am going to redo the office and get nice office furniture plus a lick of paint I am going to ..... and the list goes on what they all want to do. Now, hang on I did not hear that the government announced it will write out cheques for each and everyone for $20,000 and you can just go and cash it in! Its great that you could write those capital purchases off in same year, but in order to buy them you need to have the cashflow for it. either to finance the loan (incl the extra interest on the loan) or the total amount up front. So before you do any rash decisions here please sit down and go over your finances. Do you really have the cash for that investment, or can foresee that the cashflow will be able to cope with that extra expense? And is it really sthg which will help you increase the profitability of your business? To put it simply despite that the government would just love you to spend money, YOU CANT SPEND WHAT YOU DONT HAVE... or at least you shouldnt spend what you dont have. See more

21.01.2022 I keep being asked by clients what is a reasonable amount for meals when I pay for my crew on jobs for their meals eg breakfast or lunches. Here is a link to the ATO and reasonable meals. This one is more for the individual taxpayer and what they need to declare as income from employer and what not. Interestingly this varies by income and also by Location of the job! 20.01.2022 As with all industries we bookkeepers are also having our own jargon and language. One particular phrase which seems to bring some confusion is the "That is a rescue job" - I can understand that clients who come and seek bookkeeper services might not be willing to admit that their case is a "RESCUE Case". So let me explain a little about this: In general if the bookkeeping has not been done for longer than 3 months it is looked at as a rescue as this most likely means that lo...dgement due dates for older BAS/IAS and Super might have been missed and need to be done asap. Another scenario is that a person that has not got the skills and qualifications of a BAS agent/Bookkeeper has done the bookkeeping and now the file has to be corrected/ cleaned. This second scenario is a much scarier aspect than first one. Both need the experience of a skilled BAS agent/Bookkeeper to get the books up to date and balancing. For me it is a great satisfaction to get a file back into shape and tidied up. A lot of time it is about getting the backlog done and putting systems in place for the client that will help them to keep on top of things. More often than not once I have accomplished this the client is able to take over and I only come in and do monthly/quarterly reconciliations of the file. Having clients who had been for years about 18mths behind with their books are now able to do monthly BAS lodgements. How good is that? If you ask them they will gladly tell you that the Rescue job charges where the best they ever paid for their business, considering the savings on late payment fees and penalties plus not having up to date financial reporting to rely on. As you all know the scammers and hackers improve so we all have to improve our security for our business information. If you are one of the many who already use Xero for your business or you are just starting Xero access can now been set up with a 2 step authenticator via a simple google authenticator app. So each time you use your credentials you have to add the step of also entering an access code from there. That and of course regular changing your first step passcode is a basic protection you should not ignore. 15.01.2022 #EndofYearPreparation#Bookkeepersattheirbest# So here is the second instalment of my notes from the best workshop to attend each year. And this is more for the business owners than for other bookkeepers: For this year it may already be a bit late but we BASagents/Bookkeepers start our end of financial year preparations already in April. yes you heard right. We do already then the Payroll Reconciliations to assure that the figures in the P&L for Payroll Expenses and the Payro...ll reports reconcile and the same for your Payroll Liabilities that those reconcile with the Balance sheet and only the current month of PAYG and Super are still outstanding. We check that all staff have correct details for the payment summary. that the Leave accruals for staff are correct and will be brought over to the new year. And that is only on the Payroll Site of things. In June we check what is open in the Debtors and Creditors, what is in the Directors loan account and the Suspense Account. We -if client has given us permission for this- will liaise with the Accountant in his preparation for your End of Year. There are checklists for each of these "little jobs" and there are more jobs depending on which industry you are working in. For the Building and Construction industry we will start the preparation of the TPAR Report, to assure we have all details for any paid subcontractors on file. And of course we are already reconciling the GST total lodged against total in file. So that the June Quarter is relatively easy to do. Bearing all this in mind it may help you to see that a bookkeeper/BAS agent is a great business support to gain/have control over your Finances at this important time of year. See more

Last day for lodgement and payment is the 28th October unless of course you use a registered BAS agent to do your BAS. Dont leave it to the last minute get it done early, peeps!

09.01.2022 #CyberSecurity#Gettingsmarter#SetUpPasswordmanager So one of the topics today was about cybersecurity. As the hackers and scammers get smarter and more aggressive these days the "one password does for all sites" is just not good enough any longer. Like many of us I had a handful of passwords and changed just between them. The discussions today in the workshop just clarified to me that it was high time to take the next step in cyber security (apart from having cyber security i...nsurance) and to start getting serious about passwords. There are a few passwordmanagers about, I selected "LastPass" and started setting it up today after the workshop. All the fear of new and unknown and umms & ahhs. The set up was easy, and while I will still have to learn on the way, I kind of feel relieved that I have taken that step and that it was easier than I thought to add important sites I access regularly for myself and my clients to this password manager. So in addition to the 2 step authentication one should have in place!! I know have also got this sorted. Let me encourage you to seriously look at your internet/cloud security as I promise you - you have more valuable information in the clouds than you think. Keep it safe - Lock it (with 2 step authentication and encrypted password manager) or run the risk of losing it! See more

05.01.2022 So here it is: We small business owners work very hard, us bookkeepers particularly at present for the Sep BAS. Do you know when to stop? Before a good day turns into frustration? I have today worked 10hrs flat and I will stop now as any longer will only turn me into a frustrated tired being. So in a nutshell: Dont push it, recognise when the daily limit is achieved and give yourself a little freedom to relax. This will mean that in the long run you will be more productive on the next day! And acknowledge that you have done well for the day!.

04.01.2022 Hi all GST registered small business owners! Please remember your BAS lodgement and payment - should you have lodged through a BAS agent like me- is due today! So sign the lodgement authority form for your good BAS agent and pay the BAS!(Should you not have done that as yet for the March BAS) And then we have 4 weeks of "recouperation " before we will start with the End Of Financial year work. Hint: Get to check your software that you have all updated and complete staff details in there ready for the Payment Summaries....These have to be issued to your staff by early July!
