24.01.2022 Today, 10 September marks World Suicide Prevention Day, and, in Australia, R U Ok? Day. COVID-19 has brought many challenges at work and home, which is causing significant emotional distress. DYK, 1 in 4 people are experiencing mild-moderate anxiety and depression, and close to 1 in 3 people are experiencing severe psychological distress, yet less than 65% of people are receiving the professional help that can alleviate their distress.... So today, take a moment to think about each of the people close to you. Think about how they are doing. Have they been a little off recently? How might they be coping? When we genuinely reach out and connect with the intent to help, we may reach in to another’s heart the moment they need it most. So today, ask those you love, those care about, are you ok? If you want to find out different strategies to aid a conversation, visit www.ruok.org.au

24.01.2022 If at first you don’t succeed, try, try again! We’ve all heard this saying right? It’s an oldie, but a goldie! Most of us have had a rough experience in the past couple of months, whether it be personally, professionally or in business. What’s becoming so important is our resilience and ability to push forward when we have a set-back. ... Inevitably, when we’ve had a setback, we’ve really just learnt how to NOT do something. So take the lesson, re-evaluate your approach and get back on the preverbal horse!

21.01.2022 Are you organising the Christmas party for your team? Great, because we’ve, got a list of local places for you to host this year’s do. Grab your team, grab your picnic blankets and bring the Finska or Jumbo Jenga. Snapper by the lake is a great spot for a casual fish and chips, a few cold beverages and some serious relaxing under the big shady trees by the water. Keen for a few frothies with friends? Well, our local home grown brewery might be just be the spot! @capi...talbrewing offers a range of beers on tap, food by none other than Brod (hello Brod-Dogs!) and a great space both inside and out where you can sit back and enjoy the summer sunshine. Have you tried @dumplingsocial in Woden? If not, why not? HOLY CANNOLI, the food is DEVINE! Our recommendation, caramelised pork belly, duck fried rice, fried kimchi dumplings and crispy zucchini fries with Szechuan. Grab a table for a small team and enjoy the food coma! What about adding a little activity to the occasion? Does barefoot bowls take your fancy? With a very limited supply of bowlos left in town, we need to love and use the ones we have. The Weston Labour club offers a bistro meal and game of bowls and from experience, it’s quite a treat and a great way to host a little friendly competition between work colleagues. If your team are fan of exotic drinks and Latin music, then Highball Express in the Melbourne Building could be a great option. Highball offer delicious canapés, cocktails and punch bowls to keep the team jolly all afternoon long. They can also arrange a DJ and Latin dancers that are bound to get your team in a festive mood. Want to dine in the Garden of Eden? If you haven’t been to @pollencafe at the Botanical Gardens, then you’re missing out! This gorgeous café offers super yummy meals, a fantastically styled dining area, all set in the beauty of Australian nature. We’d recommend this location for a team breaky, because the waffles are delightful!!!

21.01.2022 Will you be joining us?

20.01.2022 Remember pre-COVID, when life was super busy and we didn’t really know how to stop and smell the roses? In a recent survey, almost 80% of respondents noted they don’t want to go back to their pre-COVID ways which is fab! As it would seem, we like a slightly slower pace to life, more time to be with our friends and family, and as it turns out the rat race we were on, is so 2019. For all of its bother, 2020, have brought us a little more clarity. So if you’re committed ...to bedding down your slower, more organised self, we thought we’d share our team's tips on ways to keep it all going. 1. Plan and schedule your work activities for the week ahead. Walking into the weekend, you be completely ready to turn off and not worry about a thing until you’re back at your desk on Monday. 2. Remember it’s OK to NO! You don’t have to be everyone’s hero! Saying no, is really about managing your energy and anxiety and putting your best foot forward to the tasks and projects where you’re needed most. 3. Consider which tasks you can remove from your to-do list by delegating or outsourcing them to someone else. 4. Who doesn’t love an organised stress-free grocery shop? Every Friday, plan out your weekly meals and shopping list. By the time Sunday rolls around, your list is ready to go! 5. Turn off your phone notifications during work hours. This has been a game-changer for our team because those pesky social media notifications are completing distracting! 6. Consider using templated responses to avoid typing the same copy over and over again. 7. Structure your day around your energy and creativity levels. High energy = critical, high focus tasks. Low energy = less important, mundane tasks. 8. Stop trying to remember everything! Simply set up automatic reminders for recurring tasks such as client invoicing, bills, newsletters, etc. If you're an iPhone user, all you simply have to say is, "Hey Siri, set a reminder for ...." At the end of the day, it’s all about finding ways to reclaim your time and settle in a better routine to be more productive at work so you can really enjoy your home life.

19.01.2022 Let’s be honest, we all need a reminder to focus on our priorities every now and again. With more and more of us moving back into a ‘normal’ office environment to work, it can be easy to loose sight of our goals, among all the office activity and commotion of others around us. 18.01.2022 Um hello August, where you come from?

17.01.2022 Let’s play a game of count how many time thieves we each have in our day. What is a time thief? It’s those little bad habits or distractions which creep in and take us away from being our most efficient self. The stop us from getting sh!t done and lead us straight to stressville! They include:... Poor physical set-up in your work environment (clutter mostly) Unnecessary meetings (emails anyone?) Not delegating work and taking on too much Poor planning Negative people Poor networking Procrastination So, how many time thieves do you have in your day? Take some time this week to step back and look at your work and see how you can knock some of your time thieves on the head. We’ll bet you feel less stressed when you do. 16.01.2022 As you grow (older and/or wiser) you realise there is such power in struggle. A struggle overcome is often the sweetest victory and the most prized achievement. So here’s to the struggle! May it make you stronger, prouder and more grounded.... #thursdaythoughts

14.01.2022 Do you operate with fear of failure? Last week at our virtual coffee we got talking about how we operate within our roles and if we think we are cautious or cunning operators. It’s got us thinking about why some EAs are risk adverse, ultimately preventing their growth. ... Is it the Executive member and their attitude to work? Have they had a bad experience and are still holding on to the experience? Or are we naturally risk adverse and that comes forth in the workstyle? Whatever it is, we do need to step up above it. As they say, fortune favours the brave! What we mean is that a good EA will be a strong wing-woman or wing-man to their Executive. Sure there is admin and support elements of the role, but ultimately, we are in a position where we can fly with the Captain and offer more than just the in-flight service, am I right? To be seen as their wing person, we need to take on the risky business with more vigour and be ok with the notion that sometimes we’re not always going to get it right. In fact, sometimes we are going to monumentally crash the heck out of the plane, survive, then walk away with a fantastic story and a grant lesson. Instead of operating on the tar-mac, we challenge you to push the throttle forward and go from cadet pilot to the first officer! --------------------------------------------- Want coaching to help you grow and overcome challenges? 12.01.2022 ICYMI on our stories today we asked if you start your day with your inbox or calendar. Why? Because we think it matters to how productive you can be. Each of us has our own way of doing things, but did you know there have been hundreds of studies into how we can be more effective in the workplace, all by changing simple habits in our morning routine? The prevailing consensus suggests that a morning routine founded in setting yourself up for success, rather than diving st...raight in, is best. So, what does that look like? Wake-up before everyone else. This gives you a chance to find your day without distraction. This might include reading, journaling, meditation, or planning out your day. Exercise, meditate and eat healthy. This should be common sense. But, laying in bed and eating donuts won’t give you the energy to make it through the day. (Shame, because we do love donuts!) Review your calendar. This way you know what to expect for the day. Also, it ensures that you can address any scheduling conflicts before it’s too late. Spend time doing something you love. This could be eating breakfast, walking or playing with your dog, or working on a hobby. It puts things in perspective. It also puts you in a good mood. So, there you have it. Not an email inbox insight before the day is planned. Let us know if changing up your morning routine helps you?

10.01.2022 Are you job ready? If anything has taught us the value of a good job and great organisation, it’s been 2020. Am I right? 10.01.2022 If you can’t see it, will it ever exist? Gang, let’s talk vision boards. We are huge fans of vision boards, HUGE! Having a vision board helps you clarify your goals for your life, and keep them in front of you each and every day so you can remember your ‘why’ and what you’re working towards, especially when you’re struggling through the day-to-day realities.... A vision board will help you make key decisions when it comes to your career, business or your personal life, because it acts as the anchor to your goal planning. If you ever become unsure of what you should be doing, take a look at your vision board to help you determine which choice will get you closer to your dreams. It’s also a stylish addition to any home or office, and a great talking point with your friends and familybecause talking about your dreams with others is another step towards making them a reality. So grab your magazines, print pictures and quotes from Instagram and Pinterest, collect and cut up brochures to start to create a visual representation of all the things you’re chasing down.

10.01.2022 Can't is just another word for won't! So many of us subscribe to the premise that we can’t do something. When you find yourself having times of doubt, you need a plan of attack to pick yourself up and find your inner power towards success.... So, what are four tiny little things you can change TODAY to empower yourself and strive for your goals? Gratitude: When you shift your mindset to being grateful regularly everything will look and feel better than it did before you practiced gratitude daily. You will have a deeper appreciation for everything and begin to recognize even the smallest things that you are blessed to receive and have. When you recognise those small things, you begin to feed your brain with positivity. ACTION: Grab a post-it note and write five things you're grateful for! Self-Talk: Speaking to ourselves negatively can have some pretty damaging effects. Studies have linked negative self-talk with higher levels of stress and lower levels of self-esteem. STOP TALKING SH!T ABOUT YOURSELF & UPGRADE YOUR INNER VOICE!!!! Need to get into the groove, set a 5mins meeting with yourself in your calendar and for that five minute, talk positively to yourself. Personally we like to do this on the walk to grab our morning coffee! ACTION: repeat after us! 1. I’ve got this! 2. I’m awesome at my job! 3. Because of me, things get done to the highest possible standard! 4. I’m a fantastic Friend/Daughter/Sister/Mother/Partner/Wife! Determine Your Mindset: Decide what you want your mindset to be and follow through with actions that support that mindset. If you already HAVE the mindset of who you want to be, you are conditioning your brain to adopt a new mindset and reinforce it with action. ACTION: grab a piece of paper and write your goal on it and stick it where you can see it! Exercise: Exercise gives you endorphins. Endorphins make you happy. Elle Woods. Yes friends, movement is great for both body and mind, exercise releases endorphins. These brain chemicals trigger positive feelings that can help control stress, manage pain, and keep you focused. ACTION: Book yourself 30 minutes over lunch and get outside for a walk.

10.01.2022 You can’t actually manage time, it’s out of your control! Wowza, you must think that’s a big call coming from us! Hear us out, we’re going somewhere with this post! What you can do is manage yourself within the time you have. ... Regardless of age, culture, importance or intelligence, we are all given exactly the same amount of seconds in our day, but some people achieve a lot more within that time. The question is, how do people become more effective and efficient with their day than others? We like to use Stephen Covey’s time management matrix. Put simply, there are four quadrants to help you filter your tasks in the allocated time you have: Q1 Important and urgent This where you need to hustle, this is the quadrant of necessity. It includes: - Crisis management - Medical emergencies - Deadline driven projects - Last-minute preparations for scheduled activities. It’s important to recognise how often you are working in this quadrant. If you hang out here too long, things like burnout, poor mental health, and fatigue ensue. Q2 - Important/ not urgent. In this quadrant you have: - Preparation / planning - Prevention - Exercise - Relationship building - New opportunities - Recreation and relaxation. This is the quadrant where the quality happens. This is where you are proactive, you take your time to consider the outcome and you develop good strategic outcomes. We recommend hanging here as much as possible, which means that you need to build good structure into your routine. Q3 - Not Important / Urgent This is the quadrant of deception. Things look busy and important, however, there is merely just all puff, no substance. - Interruptions and some calls - Some meetings (ie what meetings should have been emails) - Many ‘pressing’ matters - Popular activities Q4 - Not important/ Not urgent. This is the quadrant of waste. This includes things like: - Reading junk emails - Mindless social media scrolling - Mindless television. Now that you have an idea of what the quadrant looks like and what work is contained within, take some time to assess your work activities and see where you sit.

09.01.2022 Do you have this person in your office? You know the one, they ask for your help and expect you to provide them the answer or solve their problem? Come on, every office has that one person, surly! Today, we want to talk about self-help, office addition. ... Sometimes people just need a little nudge (or large push ) in the right direction. So how do you stop solving the problem for others and teach them to fish for themselves? Tip one: Hand on our heart, everything you need to learn to do your job you can find on the internet. Promise. Need a template, let's get on Google for that. Want to know some serious email hacks, YouTube is your pal. Want to learn a new skill, well apart from connecting with our team you can use platforms like Udemy, Linkedin Learning, or Skillsoft. How do you hand them on, to help themselves? Our perfect one-liner, "I think I saw something a few weeks back on YouTube, try searching....' Tip two: When it comes to corporate knowledge, it's time to coach people through making connections. Instead of answering the question for your regular customer, how about direct them to the organisation's intranet or get them to connect directly with the business area responsible. As EAs it's great to support the people around you, but remember, you are no doormat and as many would be aware, we don't have all day to do other's work, we're damn busy! Have a fabulous Wednesday!

09.01.2022 So, you’ve just inherited a new Executive, now what? (Fingers crossed, they’re awesome?!?!) For our team, the best working relationship between an EA and Executive come down to fit. But what happens when the working relationship starts without an introductory meeting and you need to find your groove with the new boss? Our advice, you best find out what makes your new Executive tick, so you can start from a common ground.... To help, we’ve come up with a series of questions you can ask your new boss, so you can get a sense of their working style and priorities to understand how you can support them. 1. What do you value most in your staff? 2. What’s your biggest team achievement? 3. What are your priorities for the next 3, 6 and 12 months? 4. When the day is done, what do you do for fun? 5. How do you prefer to receive information? Are you a person who prefers, emails, verbal updates or hardcopy briefs? 6. When is it appropriate for your meetings to be interrupted? 7. Are you ok, if I knock on the door to remind you of your next appointment? 8. How do you like your inbox and calendar to be managed? 9. What decisions am I empowered to make in my role? 10. Are you comfortable with me assisting the business unit, or would you prefer me to work directly with you? When it comes down to it, you need to find a fit and working balance you connect with. In most instances, senior executives are used to working in a particular way, so being flexible and accommodating is important. If you have ideas for process improvement and suggestions to increase the productivity of your executive suite, we recommend getting the lay of the land first, before making suggestions for incremental change. As you become more familiar with each other and your working styles you’ll hit your stride and you’ll know where you can shake things up and where things are best left as is. Tell us, what’s been the hardest thing about starting with a new Executive? See more

07.01.2022 Self Care Sunday What are you doing for yourself today? How are taking a moment to rest and recharge ahead of the working week?

07.01.2022 How many times, especially in workplace, do you hear people use words that they think they know but don’t? Although they think they sound super intelligent and sophisticated, but when you hear it, all you can think about is the poor use of language, rather than the actual message. Here are a few of our favourite words you’re probably incorrectly using:... Methodology The Government Department will utilise only secure and reliable authentication methodologies Methodology is an annoying word that has weasled it’s way into so many places, especially government documents and annual reports (**Ahem APS**), probably because it sounds importantand pretentious. (Sorry to our APS friends! We’re here for laughs, you know that!) The word to use instead is method. The -logy tacked onto the end of method transforms it into the study of methods. So methodology does have a place in English language it’s just that it should not be a substitute for method. Unique The Bentington Company is one of the fastest-growing and most unique investment management organisations Unique means being the only one of its kind; unlike anything else. So something can’t be the most unique it can only be unique. And last but not least, my favourite: Moot Whether you need to appoint a Data Protection Officer or not is a mute-point. Actually, it’s not a mute point at all, because a point isn’t speechless. It should be moot, not mute. But even spelled right, moot is tough to use correctly. The use of moot is, well, mootand we’re not being cute. What we’re saying is that the meaning of moot is open to debate, in other words, get off mute and have a good ol’ convo about the point. So, in the spirit of things being moot, let’s open this up. What words and phrases do people use that get you twitchy? See more

07.01.2022 Are you ready to get back to learning in an actual live event, with real people, who are appropriately socially distanced? Was that a yes? Great, because we’re ready also and we’ve got two workshops waiting for you. Here’s what we’ve got planned:... The EA Leadership Journey Friday 16 October The EA Leadership Journey is an intensive one-day course designed for executive assistants who want to expand their role in the workplace and advance their careers. The course is open to EAs in the public sector, those wishing to transition to the APS, or for private sector EAs currently working for or who wish to work for C-suite executives. The EA Insights Program - Wednesday, November 18th, 2020 The EA Insights Program is an intensive one-day workshop for EAs who want better insight into themselves to understand how they can work more effectively with their Executive, grow in their role and advance their career through self-reflection, emotional intelligence, empowerment and growing out of their comfort zone. Have you ever heard someone say, ‘you eat the elephant one bite at a time?’ Try to break your work/project up into small bits. Then start ticking off the smaller bits. Stuff gets done, overwhelm is reduced, 'elephant' is being eaten bite by bite. Hack two: You’re probably going to love this one. Take a break. In the office environment, it can be easy to slump over the desk for endless hours, BUT if you break your day into segments, then it seems easier to manage. We encourage: a coffee with friends at 9.30 a quick screen break and a cuppa at 10.45 lunch from 12.45 tea at three while getting away from the screen finish time from 4.45 (depending on your hours). To make it easier to achieve this, add these reminders to your calendar so they are penciled in and you’ll see your day broken up nicely. Hack three: time your efforts. When work is crappy, ie you have to collate responses for a board meeting or a 'Ministerial Coord', then work can be a tad monotonous. To blitz through tasks like this, set the timer on your phone for 30 mins and go all head down, arse up on the activity . You’ll find yourself committed to the task while your mind reconciles that it’s only 30 mins you’re in for. Hack four: Read more. The more you occupy your mind with productive content, the more motivated you'll become. So, grab a book, find a blog your keen on and tuck in. Enjoy 15 mins of reading time to help inspire your mind and hopefully bring back the mojo! Got any other hacks to up the mojo? Share them below! See more
