20.01.2022 Why train staff? I heard this quote somewhere, it’s reportedly a conversation between a CEO and the Accountant about the cost of training staff. The Accountant asks, what if we train the staff and they leave, how much will it cost us?... The CEO replies, what if we don’t train them and they stay, how much will it cost us? As a business owner we are often both the accountant and the CEO. So this is something most of us struggle with. In my experience I have found that the CEO is correct. But there are options to hedge your bets. If you are planning to put a team member on an external course that will be advantageous to them for their future career within your team or for another organisation you can: 1/ set up a training contract where if they leave in a certain time frame they pay back all or part of the cost. For example if they leave within a year they pay the whole cost, if they leave between one and two years they pay 50% of the cost and if they leave after 2 years then they pay nothing. 2/ provide a yearly scholarship that they can use each year to pay for courses that you agree on. This is therefore part of their package not a separate expense that you have to justify. 3/ you run such an awesome organisation that it’s irrelevant, the only people that leave are those that don’t fit into your cultural norms and you would want them to leave anyway. For me Option 3 is what I prefer to use and have found successful for the past eight years that I have been putting my team at Fire & Emergency Services SA through a Certificate 2 course. 16.01.2022 Owning a business can be lonely! I've picked this picture for our banner as it reflects how I often feel as a business owner - lonely and unsure about how to proceed. If you are the sole owner of a small business you usually don't have anyone to talk to about your business. You can't talk to your employees as this may stress them or they just won't be interested.... So what do I do? I talk to my business mentor or seek out a friend that owns their own business. 15.01.2022 Time is not a scarce resource I have been studying the Pareto Principle, or the more commonly referred to as the 80 - 20 rule. I have been looking at how it applies to my businesses and my work. This rule is that 80% of the reward comes from 20% of the causes. While the exact ratio may vary the issue is that the rewards in life are often disproportionate to the causes. When I analysed one of my businesses I found that 90% of its income came from 10% of its customers. So i...f we foster relationships with these customers and seek to find more like them we can disproportionately increase our revenue and profits. On a daily basis I have noted that only a few hours of work in any week result in most of the progress that I make towards my goals. A lot of what I do is busy work, socialising with work colleges and meetings. Are these things really important? What if I didn’t do them and spent more time focused on what was important for me to reach my goals. If I worked like this and gave myself permission not to do the other stuff I will be more effective, less stressed, have more free time and be happier. Combine this with my last post about being more attentive with each task that we do and I could 10X my effectiveness. That is my challenge! Have a look at what you do every day, is it working to your goals or is it just filling your time? If you stopped doing it and spent more time doing the important work what would be the result in your life? What would be the impact on your career? That is your challenge!

13.01.2022 Multitasking Skill or a lie? In an article in PhyscologyToday.com they discuss multitasking. And it is an eye opener for those of us that claim to be able to multi-task or who believe it is a skill we need to learn. Multitasking involves engaging in two tasks simultaneously. But here's the catch. It's only possible if two conditions are met: 1) at least one of the tasks is so well learned as to be automatic, meaning no focus or thought is necessary to engage in the task (e....g., walking or eating) and 2) they involve different types of brain processing. So let’s look at some examples of multi-tasking - You can read effectively while listening to classical music because reading comprehension and processing instrumental music engages different parts of the brain. But if the music includes lyrics then your comprehensions decreases - You can walk while talking on the phone because walking is automatic. But if there are other hazards, such as crossing the road you will stop talking while you negotiate the danger. Research has found that multitasking is neither effective nor efficient. These findings have demonstrated that when you shift focus from one task to another, that transition is neither fast nor smooth. Instead, there is a lag time during which your brain must disengage itself from the initial task and then reduces onto the new task. This shift, though it feels instantaneous, takes time. In fact, up to 40 percent more time than single tasking - especially for complex tasks. Research has also shown that when working on complex tasks that each interruption costs you time, up to 20 minutes to switch from the interruption to the complex task and then review the complex tasks to determine where you were up to. So what do I do? I work on only one task at a time. If I have something particular complicated to work on then I disconnect from interruptions for an hour or two to work on the project. It’s no different than being in a meeting with a client, while in the meeting you ignore the phone and emails. I then make time after then project or task is completed to return phone calls and emails. So what should you do? Simply stop multitasking and focus instead of batching time to work on each task. Worth a read ------------------------------------------ I was asked the question "What was the best skill you were taught or lesson you received in Special Forces?" ------------------------------------------... This is my response: The single most important skill that I learnt was how to be consistent. I have seen the most talented and gifted men fail because they didn't consistently train or apply themselves to their tasks. ------------------------------------------ Consistency is the key to achieving everything you want. ------------------------------------------ Fitness - is all about consistency, do something everyday. Even when you don't want to, go through the motions. As you spend time unwinding over the Christmas/New Year period use it wisely, think of what new year resolutions you have for your business. One way to do this is to get a journal and ponder the question what would we do differently this year? As things come into your mind write them down, don’t judge them just write them down. By the end of the break you will have a list of what you want to do, then... is the time to evaluate them and add them to your business plan. Good luck. 05.01.2022 Sit sit walk walk don't wobble This is a zen saying that I heard on a podcast. And it’s meaning has both productivity and focus implications. Lets break it down, when you sit, just sit. When you walk just walk. If you try to do both then you wobble and wobbling is not a good thing.... So how does that reflect on productivity? If you are doing task A, do task A, don’t do task B. If you switch from task to task you will either get neither done or both will get done, but not well. What are the focus implications? For me this is best discussed using a person to person interaction. Lets say you are talking to a member of your team, rather than being focused on what you are discussing they keep looking down and doing stuff with their phone. How does that make you feel? How confident do you feel that the outcome of the conversation will be the best? It probably won’t because the person wasn’t focused on the conversation, they were distracted. So the simple moral is multitasking does not work, focus on the thing you are doing before thinking about the next task and you will be more productive and more focused. 02.01.2022 Business Planning effective or a waste of time? What is a Business Plan? It’s a document that looks at your business from all angles and then guides your decisions moving forward. It could include - Analysing your competition... - Analysing your customers - Analysing what has worked in your marketing and sales - Analysing the strengths, weaknesses, opportunities and threats to your business - Forecasting future sales - Forecasting future costs and expenses - Forecasting the future organisational structure of your business to meet future grown The end output is a set of actions for the next 12 month as well as a budget (which we will talk about in another post). Many people don’t think a business plan needed or think that it has little value as you can’t predict the future, but I’d challenge that. Lets use the analogy of a street directory. You look at where you are and where you want to go. You plan a route that will be quickest. Then you start to drive. Suddenly you find yourself detoured due to roadworks or an accident. You use your map to adjust your route and eventually you reach your goal. The map, destination and starting point are all part of your business plan and with it you are able to overcome the unexpected. The alternative is you get in a car and start driving in any random direction, when you hit a detour you turn off and keep driving in the new direction. Hours later you are still driving, but to where? You don’t know that is life without a business plan. Now none of us would start driving without a destination or a route to travel, why are many people not using a business plan for their business? 01.01.2022 Do you use a TO Do List or a Schedule? Many of the most stressed and over worked people I know start each day with a very long to do list. Whenever they have time they pick the most urgent item of this list to do. And when they finish that task they do the next most urgent and important task on the list. If they get asked to do something they add it to the list or they just get it done. At the end of the day they have a to do list that is as long or longer than it was... at the start of the day. And what is the result? They often feel stressed, overworked, disheartened or drowning in work. But there is an alternative that at the end of each day has you feeling satisfied and productive. I call this method a Scheduled To Do List. So how does it work? It starts with your normal to do list. This is the catch all for everything that you have to do, but instead of working from this each day you allocate the tasks onto a schedule of what you are going to do each day. I start by writing down all the meetings that I have. These are tasks that are fixed. Around these fixed meetings I schedule the most urgent and important tasks from my to do list. I allocate a realistic time frame for them. If there is not enough time to complete the selected task I either accept that I will only get it partly done or I choose another task to fit the time I have available. As I work through the day I cross off each task. At the end of the day I look back to see if I have completed everything I had scheduled. On good days I finish the scheduled to do list early. When this happens I feel a level of excitement and satisfaction. I can then either do some extra tasks or go home early knowing that I have done everything I expected to get done. 01.01.2022 Do you focus on the rocks, pebbles or sand in your life? This video is something I first heard as a business concept. From a business perspective the meaning of the story is that to be effective you should always start to plan your day with the rocks - those things that are most important for you to get done, those things that your performance is judged by. This could be key meetings, research for a project, writing or some critical phone calls. You then add the pebbles - tho...se things that have some importance but aren’t critical. This could be some of that paperwork you're supposed to do but no-one will notice if it was done or not, or returning a phone call to a sales rep. And finally you fill in the rest of the day with the menial busy tasks that are always there. If you start the other way you will be busy but not very effective and ultimately risk losing your job or your business. In the video the story is applied to your whole life.
