11.01.2022 The 5 P's of effective meetings: Well-planned meetings are productive meetings! I'm in Mongolia with a client and find myself spending a lot of time in meeting rooms (with great views). Next time you set-up a meeting, consider using these prompts to plan. 1) Purpose Do we even need a meeting/why?... 2) Payoff What is the required outcome? 3) Participation Who is attending? Who will take minutes or actions? Who will be timekeeper? (this ‘P’ also doubles as a prompt to ensure diversity of participants for the facilitator to encourage input from all attendees). 4) Prepare Pre-reading or pre-meeting requirements? 5) Process Prepare a detailed agenda. Some other P’s you could also use as the host or participant Personal Aim to meet in person or use video a face-to-face meeting is usually more effective. Punctual Arrive on time and prepared (read the pre-read material). Phones Put on silent, turn off or confiscate (for repeat offenders) to keep the meeting on track. Parking lot If one issue is taking up too much time, put it on the ‘parking lot’ for later discussion. Progress At the end, confirm the minutes or actions.
