21.01.2022 Your meetings should be short, sharp and purposeful. What we need is a 25-minute meeting. A meeting that is short, sharp and productive. A meeting that gets the job done efficiently. A meeting that gets more value in way less time. Stop for a minute and look at your calendar. How many of your meetings are 60 minutes or more? 20.01.2022 Pick and Choose There are hundreds of things that will happen throughout the day, but it’s only two or three high-impact tasks that we need to spend our most valuable time on. I had a client who was struggling to value his time. He felt like he never had a chance to get his work done. He was always in meetings, responding to hundreds of emails per day and then working late into the evening, missing out on time with his family.... From time to time, he would fluke into what he called ‘purple patches’ where he was able to be super productive. Generally, it was when a meeting had been cancelled and he suddenly had a space in his diary where he could do some, in his words, ‘actual work’. We decided together that he needed to create ‘purple patches’ more consciously in his diary and I suggested that he block out the first two hours of every day. He then colour-coded this blocked time with the colour purple. 14.01.2022 Make a change. What could you change right now to make your meetings more purposeful and playful? Why do we expect and accept that meetings will be dull? ... A client once told me, ‘That’s just the way it is. It’s the nature of our business. Our stuff is dull’. I challenged him to think of ways to make them more fun and enjoyable. He introduced yellow cards and red cards to his meetings (he’s a big soccer fan). Each team member was given a set of coloured cards and they could flash them at any time. A yellow card signalled, ‘We have spent enough time on this, let’s move on’, while a red card meant, ‘Out of order’. In the past, most people would sigh, have side conversations, or check their email when things weren’t moving along. The cards empowered them to let everyone know the meeting was veering off course without seeming rude or confrontational. These settings are designed to keep us alive. 10.01.2022 Give your next 10 meetings a score out of 6. 1 point - PAINFUL Nothing useful accomplished; participation is constrained by lack of purpose and/or process. Nothing relates to me. 2 points - WOEFUL ... Destructive and counterproductive to getting any work done. A negative return on the investment of attending. 3 points - WASTEFUL A wanton and flagrant misuse of people’s time, effort and the organisation’s resources. Wrong people there, no decisions made. 4 points - USEFUL A return on my time investment with one or two useful things. Maybe half of the contributions are relevant. 5 points - MINDFUL Thought has been given to the agenda and attendees and for the most part good work is done. 6 points - PURPOSEFUL All of us brought energy into the space, and we communicated well. Ideas sparked off each other. What do bad meeting habits actually cost us: waiting for latecomers: (at least) 5 minutes wondering about the agenda: 5 minutes ... waffling and going off track: 5 minutes watching mobile phones or PCs: 5 minutes wasting time on fixing tech: 5 minutes. There’s 25 minutes RIGHT THERE that you could recover if you got rid of bad meeting habits, and I think I’ve been generous with time here.
