20.01.2022 They say a picture is worth a thousand words. Have you ever needed to capture an image from your computer screen and drop it into a file or presentation? Ever tried to explain a process to someone without a visual aid? ... I dont know about you, but I am a visual learner. When Im training, I would rather show you something not make you sit and read copious amounts of text about how to do it. As of version Office 2010, Microsoft has given us the capability to capture images from our computer screen and drop them into a file even an email - without having to use the clunky Print Screen button on our keyboard. From within Microsoft Office programs (Word, Excel, PowerPoint and Outlook), the Insert tab has a new command called Screenshot. This command gives you two options copy any open window or select part of a screen to insert. 18.01.2022 Have you ever had the situation in Excel where you are entering data in rows towards the top of a list, but you want to keep an eye on the formula results at the bottom? Or perhaps you want to compare data in column B with data in Column Q? If you find yourself constantly scrolling up and down, left and right then perhaps you should use the split window feature. You can place a split horizontally or vertically or both!... Once you split your screen, you can then scroll the different panes independently of the other. Easy! And the great thing is this feature works in other Microsoft Office programs also. 16.01.2022 There are times when running a PowerPoint presentation where you may need to draw on the slide. Perhaps you need to underline something, circle a figure or just release the inner sports commentator and place arrows all over your screen. Whichever one relates to you, simply press Ctrl + P on your keyboard and your mouse pointer will become a pen. Once youve finished, press Ctrl + A and your mouse will return to an arrow so you can move on.... There are many useful techniques to know when presenting. 11.01.2022 By now, most people use folders in Microsoft Outlook to help them manage the relentless arrival of emails on a daily basis. But are you finding it difficult to stay on top of your ever-expanding list of folders? Are you scrolling up and down in the Navigation Pane to find the folder you want?... Well, its time to start playing Favourites! At the top of the Navigation Pane, resides a Favourites area. You can add a link to any folder you like in this area by dragging it into Favourites (or right click on the Folder and select Add to Favourites). Easy! Now you wont have to scroll up and down all the time to find your common folders. Microsoft Outlook is a popular program and used countless times each day - in fact, its probably the first program you open when turning on your PC. 07.01.2022 Do you ever have trouble finding your files? Is you desktop covered in shortcuts to documents you need quick access to? Chances are you answered yes to at least one of the questions above.... Microsoft introduced the ability to be able to pin recently used documents in Office 2007. And better still, from version 2010 you can pin folders as well. My personal favourite! To pin a document, click on the Office Button (2007) or the File tab (2010 and 2013), and select Recent. If you have already been working on files you will see them in the panel to the right. Hover over the document you need to pin, and click on the pin icon which will appear to the right of the documents name. Done! Simple. 04.01.2022 Have you ever closed a file without saving and regretted it almost immediately? If you have Office 2010 or Office 2013, you no longer need to contact your IT Support in a mad, panicked state. You can fix it yourself! Open the program you created the file in and click on the File tab. From the Info category, click on Manage Versions Recover Unsaved Documents. This will display a dialog box with all the files you thought youd closed without saving.... Just remember they will only stay there for 4 days. Plenty of time, I think! There are plenty of other useful features from these versions that everyone should know about. 03.01.2022 To BCC or not to BCC that is the question Every now and then I receive emails which are addressed to not only myself but also a lot of other recipients whose details I can clearly see. Unfortunately, in most cases, the sender has placed everybodys email address in the To or CC line which ultimately creates privacy issues. ... It is best practice when sending an email to multiple recipients whose details should be protected, to place their email addresses in the BCC field. Microsoft Outlook has many useful features. 02.01.2022 Do you work with long documents? Are you tired of spending half of your time scrolling up and down trying to find the section you need to edit? Dont you wish you could change the order of your headings without having to cut and paste large chunks?... Microsoft Word has a feature called the Navigation Pane, which allows you to move through your document quickly and easily, and also change the structure by dragging the headings. Once turned on, it displays the structure of your document as either thumbnail images or by document headings (based on Styles). By simply clicking on the heading or thumbnail, you will be taken directly to this section in your document. And if thats not enough, the Navigation Pane can also be used to search your document for text, tables, graphics, and comments to name a few.
