21.01.2022 TIP: Scheduling across Multiple Projects Microsoft Project allows you to schedule your resources across multiple projects. So if you have 3-4 projects on the go and ONE team of trades, you can assign the relevant resources from one Resource Pool to the tasks in each project. You can view ALL Projects across your business in ONE Master Project file.... This allows you to identify exactly where your resources should be on any given day or time. You will know which site they will work on this week and next week. It will also identify any resource overallocation issues across the projects. 18.01.2022 TIP: How Long should the Longest Task be? For a project that spans 6 12 months, a task should be no longer than 10 days. If a task is greater than 10 days, for example Tile throughout 6 weeks then it would be difficult to assess the progress of the task.... In our experience we have found that creating tasks to a greater level of detail with shorter duration, will give you a greater level of Control over the project. This becomes particularly apparent when the project manager is tracking the project. In particular it allows for tracking to be much more accurate, in addition to being easier. This inadvertently fixes a task to that date and any tasks linked will also be constrained to the date. ... Once youve worked through putting together the Tasks, setting their duration, linking them up, developing your Resources in your resource sheet and assigning them their tasks, you will have a Fully Costed Project. ... There is natural tendency to update the %Complete column in Microsoft Project. ... This often results in errors in programmes, with progress in the future or unused duration in the past. This is because %Complete refers to the Duration or Time spent on a task, rather than how much work is done. It is calculated by the Actual Duration over the Total Duration. 08.01.2022 TIP: Managing Resources Each task should have a resource assigned to it. In doing this, Microsoft Project will determine if you have allocated too much work to one resource. If you see a Red Man against a task, it means that task has an overallocated resource.... Resource overallocation is a common occurrence when putting a project program together. The easy way about allocating resources is to work down through your tasks and allocate the resources required for each task, not considering if that resource is already allocated elsewhere in your program.
