01.01.2022 Cooking the books During the 12 years of my involvement in the Australian Accounting and Bookkeeping industry, I have seen numerous client files prepared by both in house and outsourced bookkeepers. One of the work I do is auditing. During the audit, I randomly pick a number of transactions then check the flow of those transactions from start to finish.... When those transactions flow smoothly through the cycle, I tick them off. However, when I see an income being recorded as an expense, or an expense being recorded as income, or transfers of funds from an investment account to the general cheque account recognised as income for the second time, alarm bells ring loud and clear! Yes, it's a real situation with some of the not for profit entities' books that I've seen. The bookkeeper do not have any idea that what they're doing is wrong!When asked, the reply was - "that's the way I was taught to do!" If I handle a financial report composed of account balances based on questionable transactions, I refuse to sign it off. My duty as the auditor is confirm on behalf of that organisation, that the financial report is not only true and correct; but it should also comply with the generally accepted accounting principles (GAAP). So what is the moral of the story here? Some bookkeepers do the books because they can use the computer program. Do you check on the skills, abilities and qualifications of your bookkeeper? Do ledger accounts and balance sheets add up? My ideal referral are bookkeepers. My business partner Anne Elliott and I are both qualified accountants who have decades of experience between us. We can mentor bookkeepers to make sure that the books are prepared the way they should be
