25.01.2022 Orana P&F SECRETARY Role Description The Secretary of an Association is in charge of: taking and recording proper and accurate minutes of meetings, and formulating and posting all notices of meetings.... Importantly, the Secretary is entrusted with maintaining the records of the Association. The Secretary also has responsibility to: ensure that all appropriate documents are presented to members for discussion and to act upon any decisions as directed by the meeting except for such action or correspondence assigned to others, ensure all correspondence (including that which comes from the Federation) is tabled at meetings and retained for future reference, prepare an agenda in collaboration with the President well in advance of the meeting and, if possible, distributed along with the minutes of the previous meeting, ensure that proper notification is given of committee and AGM meetings. Remember the minutes of the meeting should be complete yet concise, expressing only facts and not the writer's opinions! the success of a meeting can be affected by the information given on the agenda.

19.01.2022 Orana P&F CLASS REPRESENTATIVES CO-ORDINATOR Role Description The class representative system can be a very valuable asset to a well functioning parent association. As the role of the group is to support and represent all parents and carers in the school community, having nominated representatives from each class ensures that all parents have the opportunity to have their voice heard, whether or not they can attend a meeting. It is imperative however that class rep matters ar...e kept very separate from ‘friendship group’ issues. When a directive comes from a parent association meeting for class reps to help organise a school event, or indeed a class only event, it is essential that all parents in that class are notified. As a key role of the parent association is to assist in building positive school community, it is crucial that parents don’t feel that they are being left out in any way by not being included in invitations to help, attend dinners or coffee mornings etc. It is therefore important the class rep distinguishes events that are parent association initiatives from those that are ‘friendship group’ based. The role of class representative may include but is not limited to: Welcoming new parents to the school Introducing parents to the roles and activities of the association Inviting parents to support and attend school functions and activities. This may include the arrangement of class rosters for any particular event or function. Attending Parent Association meetings whenever possible. Communicating regularly with the Association’s executive. Organising the class communication list eg. email addresses and telephone numbers. (Don’t forget to get permission from parents to circulate their contact details.)

16.01.2022 Orana P&F Vice President Role Description To understand the role of the Vice-President, it’s important to be familiar with the overarching responsibilities of the President. In essence, they are to: provide leadership and direction for the Association, ... ensure all governance responsibilities are met, act as the Association’s representative and spokesperson, develop positive working relationships with other office bearers and members of the Association, be a good listener and role model, encourage parents and others to participate in the activities of the Association and the school, and actively pursue a collaborative working relationship with the Principal and the Parish priest. So then, the specific duty of a Vice-President is to act as Chair at those meetings for which the President is absent and step into the role of President in the event that person in unable to fulfil their duties. In many Associations that is all that is required of a Vice-President, which means they operate during the year as just another member of the Executive. However, the Vice-President’s role can be far greater and the Vice-President should play a constructive role and not just be considered an understudy to the President. Vice-Presidents should become familiar with the operation of the Association and acquaint themselves with the duties of the President, including a working knowledge of meeting rules and procedures. In addition, Vice-Presidents should also be able to raise concerns with the President where they arise, act as convenor for any sub-committees established by the Executive and undertake other tasks to assist with the workload of the President. It’s a great role to make your own.

07.01.2022 Due to very unfavourable weather we have had to postpone the Colour Fun Run until Friday next week. With rain, low temperatures and high winds, there was a risk of hypothermia for kids if we kept the date this Friday. Good news is that we have extended the fundraising date until Sunday night!
