23.01.2022 Time management and prioritisation of workload As a small business owners we need to wear multiple hats to get things done. It is important to follow a time management method that works. Important part of time management is to prioritise your workload so that focus is on tasks that can have more impact. One of the time tested time management method is Eisenhower matrix. It is also referred to as urgency and importance matrix. As per this method (as shown in the pic) urgency i...s plotted on X axis and Importance is plotted on Y axis. The point where both X and Y axis join together is the lowest importance and low urgency point. From the furthest away on Y axis is the highest importance point and furthest away on X axis is the highest urgency point. The first step of this method is to write down a list of activities or tasks that needs to be get done. Then mark each of the items based on their relative importance and urgency. And plot each item on the Urgency and Importance matrix. Once the tasks are plotted you can easily identify the tasks you like to focus on getting done. Tasks on quadrant 1 have highest impact. As a minimum you need to be very good at what your business is standing for, in order for that to happen you should be investing time to be continue to be better at that. The second hat that a business owner wears is the marketing manager. This is one of the crucial time consumers in a business. Because the aim of marketing function is to get visibility to the owner, busine...ss and the product or service. During the Initial stages a lot of time is invested in this activity. The third hat that a business owner wears is the sales manager. All the leads you generate from your marketing efforts needs to be converted to sales, if not all at least a healthy percentage of them. The fourth hat that a business owner wears is the bookkeeper hat. It is to track all their transactional activities. Basically to put a lid on the cash in their business. If not careful, this might take up a lot of your time. It is not only taking up your precious time but will also take away control over cash position in the business. There are other important hats like operations and delivery. Any of these done less than customer expectation or marketing promise then your business get into trouble pretty quickly. Now if you look at the amount of time you can allocate to each activity at the level of an expert is pretty tough act. On top of that continuous advancements to technology in all aspects of the business forces you to learn and embrace it. So, where do you find time to do everything by yourself? There may be few business owners who can pull this off but for a lot of us it is pretty hard. If you look back at your day how many distractions you had without any agitation and how many times you got annoyed when you got disrupted by people walking by your desk or phone call or instant messaging etc. There is something in the distraction that disruption doesn't have or vise versa. Is it that expectation or a decision for which you don't have... time? Whereas the distraction you know you don't have to make any decisions. Most of the time with distraction it is some unrequired knowledge that you gain and forget or get mesmerized with. 09.01.2022 Startup businesses move up the ladder pretty fast when their market research, value proposition and marketing plan are aligned. And the business owners has had built the required support team around them to leverage it. When you look at management leadership of any large organisation we see there are leaders with domain skills with CXO level responsibility. That is required because of the importance responsibility each role carries to realise that organisations' objectives. N...ow if we see that in smaller companies that kind of set up is lavish and not required on day to day basis. However, having that kind of resources set up around a business owner is important. You don't need to avail these resources on daily basis but can be used on timely basis to gain that collective wisdom. There are smaller businesses with respective expertise that can be worked collectively. This kind of set up would be monumental for a small business success. It not only benefits from their expertise but it also benefits from their referral capability. How does service based businesses come together to create such teams for small businesses?
