This position will provide comprehensive support to our business across all aspects of invoicing, accounts, safety, meetings, scheduling, office productivity including online booking system and time management. Key accountabilities include:... - Taking responsibility for the office in a personal and professional capacity; - Site management including scheduling appointments/meetings, understanding and arranging access permits and Safety Documentation in preparation for project management; - Organising team needs including travel/accommodation arrangements or ordering equipment through suppliers as required; - Email management, maintaining inbox for all accounts, maintaining filing systems, updating policies, procedures and tracking expiry dates of critical points. - Confidently prepare emails, procedure documents and tenders in a timely manner including reviewing and ensuring all outgoing mail is acceptable; - High level of accountability and certainty delivered to the leadership team; - Intermediate to advanced computer and Social Media skills; - High level of accuracy and attention to detail with the ability to maintain a high level of confidentiality; - Administration support and answering incoming calls; - Assisting all project and Company support/processes; The successful Applicant will: - Be aligned with the business Purpose & Culture; - Contribute to the ‘continuous improvement’ philosophy of the business; - Be driven by results and focussed on outcomes; - Be willing to be held accountable for the responsibility of the role; - Have excellent phone and communication skills; & - Have the ability to have fun while being challenged to grow in a fast paced environment This is an excellent opportunity to join an established and dynamic team working in an Administration capacity as a minimum 3-4 days per week but looking to take the lead in a larger role in the near future with capacity to work full time. The below is just some things from this month.. - Sprinkler design, certification and installation for a new Subway store fit out - AFSS Sign off for certification and compliance of specialist commercial equipment to obtain AFSS compliance. - New Electrical Circuit installed on dedicated meter to a store room without disruption to existing supply ... - Installation of a new gas supply and tenant meter to external gas heaters - Repairs to ADF Hanger aircraft cooling systems critical HVAC plant - HVAC maintenance and AFSS compliance inspections and sign off - Quoting for emergency lighting and fire compliance throughout over 60 buildings owned by ADF - Maintenance repairs at RAAF Williamtown - Defit and handover (on time with no defects) of Mathews Jewellers at Charlestown square - Painting crew are busy on 4 development sites throughout Lake Macquarie with over 30 town houses being built in total - Hoarding installations and removals at two of Newcastles most prominent shopping centres - Urgent removal of a Cool room condenser to allow safe removal of a cool room. - Refurbish an existing wooden floor at a shopping centre - Essential services installation at a local pre school - Final weeks of work painting a prominent Newcastle highrise with expected completion early November - Repairs to a bluestone floor after an ATM removal left bolts hanging out of the floor - Replace an existing expansion joint in a terrazzo floor - Preparation and planning to rebuild a building shopfront and new roof at Charlestiown - Pricing one new Beauty shop design and fitout as well as one refurbishment with an on point design by the clients designer. - Tendering and Quoting for our clients to keep the works coming in through to XMAS Know anyone that might appreciate our experience and levels of delivery within the Operations, Facilities or Capital Management Space? - Feel free to share.
