13.01.2022 It is well documented that we struggle to do two things at once effectively. When two tasks require the same cognitive resource (e.g. working memory), we cannot perform these tasks simultaneously but rather we switch between tasks. Every time we switch tasks we have to refocus on what we were doing before becoming distracted and our productivity suffers as a result. Hours per week can be wasted just refocusing. Therefore the less interruptions we have on a daily basis the mor...e productive we can be at work. But how do we limit the amount of interruptions and distractions at work? Many distractions are unavoidable and require our immediate attention, however, there are many more that can be avoided. Take the constant distraction of emails arriving in our inbox. The average amount of emails received per day by an office worker is 85 (The Radicati Group, inc Email Statistics Report, 2014). Now imagine how much time would be lost per day if we responded to each and every email as it arrived. Even if it only took 1 minute per email (not counting the time it takes to actually action that email) to refocus on what we were doing prior to investigating the newly arrived message, we would lose 85 minutes per day. Thats nearly 50 working days every year vanishing into thin air. One way of measuring how much people are being distracted by email every day is to measure how long it takes people to respond to an email message. In 2015 the USC Viterbi School of Engineering conducted research into this. Not only did the study measure the email response time period, it also measured responses by generation. How do you think your generation fared? Well the results are in. The study revealed that your average teenager responds to email in 13 minutes or less. The often maligned Y generation fairs slightly better taking 16 minutes. Those of us that didnt grow up with email but have adapted later in life were much more likely to leave emails sitting in the inbox for longer. Generation X took 24 minutes to respond whilst baby boomers took a massive 47 minutes, but they tend to write longer messages compared to their younger counterparts. Of course all of these response times are unsatisfactory. We can all wait even longer before responding to emails. Remember, the more we try and multi task, the more time we lose in productivity every day. I cannot see any reason we need to respond to emails more than twice a day. If for instance we responded to emails at 12 noon and 4pm every day, no customer, whether internal or external, would have to wait more than 4 hours for a response which is perfectly acceptable. Now go and enjoy those 50 extra days youll save this year. While we may not be able to choose what happens to us, we can with practice, build resilience by choosing our behaviours and attitudes and the way we react and adapt to stressors in our lives. Some people seem to be more resilient than others naturally. Although we may be born with or acquire resilience naturally in our lives, we can also learn an...d practice behaviors to improve our resilience. Here are my top 10 techniques to focus on, in order to develop your own resilience: 1. Inevitability We cannot change the fact that highly stressful events happen, but we can change how we interpret and respond to these events. Seeing these stressful events as a part of life helps us avoid the why me syndrome which can lead to chronic stress. 2. Foster close Relationships Maintain strong personal relationships with family members and friends. Caring creates resilience. 3. Have Goals in life Having a purpose or focus can help us become more resilient. We should all develop and update our life long goals. 4. Be optimistic Maintaining an optimistic outlook is an important part of resilience. See a brighter future and direct focus in that direction. 5. Look at the big picture Look beyond the present to how future circumstances may be better. Avoid blowing the event out of proportion. 6. Improve your problem solving skills Problems rarely solve themselves. Practice and improve your problem solving skills. 7. Be confident If we are confident we can adapt to and solve stressors in our life and we will learn to fear them less. 8. Nurture your mind, body and spirit By looking after ourselves, both in mind, body and spirit, we can improve our immune system, produce feel good hormones and be better able to rebound from stressors. 9. Embrace change If we can be flexible and adapt, change can lead to new opportunities. 10. Become more proactive Dont wait for issues to disappear on their own. Use your new found positive outlook and problem solving skills to get on the front foot and tackle issues head on.
