22.01.2022 #HotTip9 #Thursday Not conducting weekly team meetings... This is a very big no-no! By having weekly meetings with your team members to ensure that everybody is accountable for their actions and to facilitate any problems that may occur so you're able to handle it in a timely manner. There is nothing worse when a problem has happened you weren't able to correct it, and then it happens again weeks later, and there's a vicious Groundhog Day cycle that happens again and again.... By setting a regular huddle with your team members, you will create an authority within the team. A really good way to set your weekly team cuddles is to pick a time frame that's appropriate for all time zones and making sure it's not too early or not too late for everybody. Just the perfect time. For us, our huddles are every Tuesday morning at 10 a.m. and last for only 30 minutes. A great way to have team cuddles is to set up the program or agenda in advance. For example, you can list down topics and discuss them, such as: What was a negative thing that happened last week - 5 minutes What was something positive that happened last week - 5 minutes What your KPIs are for this week - 10 minutes How are you going to achieve those goals - 5 minutes Any other notes or questions or concerns - 5 minutes There you have it, a quick rundown on how to hold a meeting for your entire team to follow.

If you are hiring a low-cost virtual assistant, there are several factors that you need to consider such as:... Exchange rates Time zones Language barriers Pay rates Different ways to submit a job position And of course, this list could go on! 15.01.2022 All businesses growing, require policies and proceedures... What if you don't have any policies and procedures are in place? As we talk everything outsourced, here is my view...... When you have a virtual assistant, having all the necessary policies and procedures in place is essential to ensure that the workflow is completed to the standard that you require. Policies and procedures are very simple to do. However, they are very time consuming for business owners to complete. This is the reason why we don't have them in place as much as we should. Policies and procedures are set as a standard to ensure that the virtual assistant has boundaries and accountability for their actions. What is one policy that you can create for your business for your virtual assistant to follow? Example: Jan, my VA, is a bookkeeper and she is required to send invoices to our customers within 3 days after a job is completed. As per the policy, Jan should not send the invoice later than 3 days, it has to be sent to the customer within 3 days maximum. After that, she needs to contact and inform the customer that the invoice has been sent.

14.01.2022 Toni's Thursday Top Tips #talkingVA Not allowing 'baby steps' and diving straight in. This last step is crucial and could implode your experience hiring a virtual assistant. ... We want to give delegate all your bookkeeping duties away and NEVER see them again! But unfortunately, it's best to do one thing at a time. Give your virtual assistant ample time to learn the new task rather than letting them dive in and get overwhelmed. You too might get overwhelmed and this will not be a great experience for the both of you. My biggest suggestion is to create a list of what you want your new virtual assistant is to do. For example, if they are tasked to do bookkeeping, their duties are, but not limited to: enter in accounts process accounts bank reconcile creating invoices creating quotes following up quotes following up invoices As you can appreciate, the list is very full and it would be a lot of pressure for you to teach them and expect them to learn to do it perfectly. So lets break this down. How would you hire a VA to do all of this without costing you a fortune in wages, time, and effort? Hire them for 5 or 10 hours per week for 1 month Build up KPI reports on how they are going and decide if they are a great fit for you. If they arent, then let them go. If they are great, then lets keep going! They have passed your vigorous training and you are super happy. They are now ready for more! This last step is crucial and could implode your experience of hiring a virtual assistant. Lets go back to hiring a bookkeeper to help with your business. If you are like me, you want to give delegate all your bookkeeping Increasing their hours by 25%-40% will help them learn more all the while providing less pressure for both of you. under worked you are efficiently utilizing their hours less stress for you to teach them you may not need to hire them 40 hours per week as 30 hours is enough, which is saving you 10 hours of wages each week Comment below to what task's you would love to delegate today? 04.01.2022 Toni's Top Tip Thursday's #talkingVA Not knowing what to outsource can be a challenge within itself..! When we are working so much, our list is a mile long, and half of the time, we are riding that daily grind just to get through the day. ... As business owners, we will just do any and every task possible most of the time, because its quicker to do it ourselves. But what if I told you, its NOT quicker to do it yourself? What if you had to do a certain task for 20 times this month already, yet its something that you could have taught someone else to do? Lets say the task was uploading a creditors invoice (phone bill) account into your bookkeeping software (Xero or Quickbooks). It would look a little something like this: open mail open Xero select pay bill enter in all information save transaction Thats it! But what if you had to do that 5 times a day, 10 times a day, or 20 times a day? You could just possibly hire a bookkeeper right? Thats when you know that you are ready to hire a low-cost VA to help you with your business. This is one task that you should NOT be working on and is a great start to delegate your non-CEO duties to someone else. What is 1 thing that you can outsource today? There have been many times when I have been ripped off by a virtual assistant. For some instance: they are meant to work full time, but they are not available during the day working for other people when they are mean to be working only for me they commit overpricing due to my lack of knowledge about the industry not knowing the fees that are required for each payment exchange rates that change on a daily basis Unfortunately, we all have to go through something like this. We dont know everything in this spectrum, and its best for you to do as much research as possible before hiring a virtual assistant. 01.01.2022 Toni's Tip Thursday #talkingVA There are so many factors when hiring a new team member to join your team... When you Delegating the wrong tasks.... There can be many different factors that change the circumstance of delegating the wrong task to someone else. It could be a lack of communication or wrong expectations. Using the example above, we have just hired a bookkeeper and they have been working for you for quite some time now. You have built up a great relationship and they are very trustworthy to you and your business. As time passes by, you are starting to realize how valuable a virtual assistant is to you and your company. Now, you are wanting to get more value out of your virtual assistant to help you build up your company. So, now you want them to work on your SEO accounts (Search Engine Optimization). For those who dont know what that is, its a way to drive traffic to your website. Your bookkeeper has received your instructions and has now started to research what that is. There are many different reasons why they didnt say no to you. Some are: They didnt want to say no and appear disloyal They didnt want to let you down They wanted to build more hours for more wage But there is a problem with all of that. You are giving someone access to another task that is NOT right for them. You cant ask a mechanic to come to your house and replace the hot water system, right? You hire a plumber for that. You dont go to the greengrocer and order a fax machine. (Ok, I am showing my age right... now - who uses a fax machine anymore?!) By hiring a virtual assistant, its best to keep them for that task or similar to build out. Generally, they are fantastic at that particular job.
